Cusotmer constantly changes scope of works during job. Do I need to keep sending new quotes?

Anonymous user 28/02/2024 - 3.57 PM

I issued the customer a detailed quotation before the work started for their renovation. Part way through the job, the customer wanted additional works doing by me since the other contractors they had lined up had let them down, so I agreed to do this. The scope of works has changed repeatedly now, and the customer has requested multiple quotations to reflect the changes. It would waste a lot of time however for me to keep changing and re-issuing the quotation, so I just want to know whether I need to do this or if there is another way to go about this. The way I have currently been approaching it is that for any work required on top of the first quotation, we have been agreeing it verbally and I usually follow up with a Whatsapp message. The customer is not happy with this and says they want multiple formal quotations to reflect every change in the works. I would be grateful for some advice. Thank you, Nik

If they agree to the additional work you need to write a new quotation each time, send it to them and get them to agree, in black and white for your own legal protection this way it’s harder for them to knock you for payment, I know it’s really annoying especially when they keep changing their mind, but just make sure you charge them extra labour then your standard fee to cover your time writing quotes and discussing possible changes. Your time isn’t free and it is valuable use it wisely, learn the signs of this sort of client eg “the time burglar” so next time you can avoid them if you really struggle to deal with this behaviour, or know to charge extra straight of the back to cover for all this extra admin that will follow. Personally I tend to avoid clients who keep changing their mind and want multi quotations for multiple day dream ideas, as I tend to find their soon divert back to the original idea, and it makes planning a job really hard and difficult. Just food for thought fella, Regards Frankie BT Roofing Services

Bt roofing hit the nail on the head. You need to keep doing quotes for your legal protection when it comes time to pay. I would just explain the situation to the customer, and explain that the first quote is free but any amendment's or extra quotes will have an administrative fee.

I’m doing separate list “Additional jobs request”. One column “job description” second “job cost” “cost of materials”next “date” “ total price”and “client signature”. And it works. When all works completed I’ll add additional works cost to final payment invoice. Many clients change them mind during work and some of them telling: “ while you’re here could you please do this or this”.
